Maintenance & Facility Management
- General Maintenance Calls: Receive calls, emails and letters concerning maintenance issues to those areas for which the association is responsible and advises co-owners when maintenance issues are not the responsibility of the association.
- Emergency Maintenance: After hours emergency phone calls will be responded to 24 hours a day, 7 days a week, 365 days a year, with actual repair service time dependent upon the nature of the emergency.
- Maintenance Reports: The Board of Directors will be provided with a monthly report of maintenance repairs and service with a status report of progress to be included with the monthly financial statements.
- Regular Visits and Walk-Through of the Property: Perform regular inspections of the community for work which may need to be done and check for compliance in various projects in progress.
- Contract Negotiation: Arch Realty will obtain bids as directed by the Board of Directors for various services and work to be done. Bid specifications will be approved by the Board of Directors before bids are solicited; all bids will be solicited in writing. To ensure that the Board of Directors has a large range of vendors to choose from, bid proposal packages, depending on the project at hand, are sent to at least three (3) contractors. Once the bids are returned, Arch Realty will forward all bids along with a summary and recommendation to the Board of Directors for their review and decision. Arch Realty will, before any work begins, obtain a certificate of insurance from each contractor, that details their workers’ compensation coverage, general liability, and auto coverage.
- Contract Performance: Once the various contracts are awarded, Arch Realty will oversee the completion of work to the satisfaction of the Association. This includes, but is not limited to, the actual work performed, the coordination of notices to co-owners, if applicable, and the necessary scheduling adjustments in the event of non-cooperation from co-owners.
